PTS' Commissary software gives you the tools you need to stay on top of your inmate accounting duties. It not only keeps track of all monetary activity for each individual inmate, but also helps maintain an inventory of products sold by the jail. The commissary is directly connected to the activities in Jail Solutions' booking module.
Accounting information for the current inmate population can be viewed and printed from the View Financial/Commissary History browse window. This list can be sorted and searched by name, booking number or balance.
Detailed records of financial, commissary and booking activities for selected inmates can be viewed in the bottom pane.
Inmates who have been restricted from Commissary privileges are red-lined in the browse list for easy identification.
Accounting histories for released inmates may also be viewed and printed.
Transactions such as deposits, withdrawals, adjustments, transfers and work release or incentive wages can be quickly posted to inmate accounts. Checks and receipts can be printed for each transaction.
When a deposit or withdrawal is posted, the inmate's balance is automatically recalculated and updated.
Commissary orders are processed from a single screen for each inmate. Activity codes, order types, account numbers and sub-account numbers are filled by default from the setup. Selected items are deducted from the inventory, and receipts and pull sheets can be printed for each transaction.
Multiple items can be purchased for an individual at one time.
Lower commissary prices can be set for inmates who are flagged as indigent. Indigent packs (bundles) may be configured to track items that are distributed to indigent inmates. The system will also allow sold items to be returned to stock with appropriate adjusting entries to accounting.
Quickly view your agency's inventory, including how many of each item is in stock, on hold, and on order. Inventory allows for user-definable stock codes, category codes and vendor codes. List prices can be configured to include markup and tax rate percentages. Detail and bar code labels can printed for stock items. Browse list displays total on-hand, on-hold and on-order for each item.
Purchase orders can be generated for each vendor and charged to a default setup for accounts payable. Invoices can also be recorded and linked to outstanding purchase orders. The system also offers a robust menu of related searches and reports.
The Commissary Sales Report can be generated on demand for a given date-range. The report includes a breakdown of quantity, cost and profit margin for each stock item sold, as well as grand totals for each column.
The Daily Deposits Report shown below is an example of a report that can be generated on demand for any account code in the system. These reports can be defined as date-specific or date-range, and labeled with a two-line customizable header.
Setup allows for user-definable code entry for facility and financial accounts and sub-accounts, as well as inventory/stock items, vendors, default transaction codes and employee/personnel maintenance.
User permissions can be tailored for all users, from system administrators to store clerks, stock clerks and accounts receivable/payable.
